How early should you start decorating the venue





For many of the start-ups, newbies and DIY parents, who does not have the idea on how soon should they start doing the decorations for their child’s upcoming celebration, the short and safest answer is: “the earlier, the better”. It may be a birthday party or christening celebration but nevertheless, starting early will surely give you lesser pressure and more time to think of better ideas to beautify the venue.

Decorating a venue only takes 30 minutes to 1 hour for the professionals. This is mainly because most of the items to be decorated are done ahead of time and they most probably know how to setup everything because of familiarity. For those who are just starting in this business, it usually takes 2 to 4 hours to setup a basic balloon decoration package, which includes Pillars, Stick Balloons, Ceiling Balloons, Centerpieces, etc. The timing actually depends on the number of persons involved in the actual setup plus the number of items to be added to the venue to make it awesome. In most cases, a team of 2 or 3 pax is already enough to garnish the function area but some professional party shops would only need a single person to do everything.

It has become a practice for most balloon decorator to go early in the venue to avoid any lapses and finish everything ahead of schedule. Being in the venue 3 to 4 hours before the start of the party will make sure they have enough time to place all the orders of the client even though it will only take an hour to finish. A small portion of the extra time will be used to polish everything and check if all the items are there.

The timing actually depends on what you want for your decoration. If you want a luxurious event that needs ceiling drapes, link balloons, pompoms and other things on the ceiling, starting the decoration a night before the event will make sure the whole thing is a two thumbs up. For the inexperienced startups and DIY parents, you can ask the help of someone who has already done ceiling decors so that you will have an idea on how to beautify the top portion of the party area.

The problem with decorating the area earlier is that someone might be using the function room before your event. If you can discuss with the sales representative about your plans, make sure to tell them that you want to start your decoration early or the night before the big day.

Oftentimes, most venues have parties in the morning, which starts at 11am and ends at 3pm. If your event is in the afternoon and if this is the case, you can only start garnishing the premises at 3:30pm or even 4 o’clock because the staffs of the building will need to clear out all the clutter first. If your party starts at 4:30pm or 5:00pm, you will surely have very limited time if you do all your decors on-site.

Make sure you plan ahead when it comes to venue decoration. If you want to have a nicely done and memorable party for your child, be sensitive with the timing because it will lessen the pressure and you can think of more better ideas when you are already in the place. Bring 3 or 4 assistants if you are a newbie so that you will be able to divide the tasks and they can also suggest what’s good and what’s not.
